Woodside Solutions (“Woodside”, “we”, “us”, “our”) is an enterprise AI consultancy. This policy explains what personal information we collect, why we collect it, how we use and share it, and the choices and rights you have.

2. Information we collect

Information you give us directly. This includes your name, business email address, phone number, job title, company name, company size, industry, country or region, and any information you include in a message, form field, or conversation with us. You give us this information when you fill in a form on our website, submit a LinkedIn Lead Generation Form, register for a webinar or event, book a meeting with us, download content, subscribe to updates, or contact us by email.

Information we collect automatically. When you visit our website we collect technical and usage information including IP address, browser type and version, device type, operating system, referring URL, pages viewed, time spent on pages, links clicked, and the campaign parameters (UTM tags) attached to the link you arrived from. We collect this through cookies and similar technologies described in section 7.

Information from third parties. We receive information about you from LinkedIn when you submit a LinkedIn Lead Generation Form or interact with our advertising, from webinar and event platforms when you register or attend, and from business data providers and publicly available professional sources such as company websites and professional networking profiles.

We do not intentionally collect special category data such as health information, biometric data, racial or ethnic origin, religious beliefs, or political opinions. Please do not submit this type of information to us.

3. LinkedIn Lead Generation Forms and LinkedIn advertising

We advertise on LinkedIn and use LinkedIn Lead Generation Forms. When you submit one of these forms, LinkedIn pre-fills it with information from your LinkedIn profile, and the information you choose to submit is transferred to Woodside. That typically includes your first name, last name, email address, and company name, and may include job title, phone number, or other fields depending on the form.

When you submit a LinkedIn Lead Generation Form to us, you are consenting to Woodside receiving that information and contacting you about our services, events, and related content.

LinkedIn processes your information in accordance with its own privacy policy, available at linkedin.com/legal/privacy-policy. We recommend reviewing it to understand LinkedIn’s practices, which we do not control.

We also use the LinkedIn Insight Tag on our website. This allows us to measure the performance of our advertising, understand which pages visitors from LinkedIn view, and build audiences for future advertising. You can opt out of LinkedIn’s use of your data for advertising through your LinkedIn account settings.

You can ask us at any time to delete the information you submitted through a LinkedIn form or to stop contacting you. See section 12.

4. How we use your information

We use personal information to:

  • Respond to your enquiries and provide the information, content, or assessment you requested
  • Register you for webinars and events, send confirmations and reminders, and follow up afterwards
  • Send marketing communications about our services, research, webinars, and events where you have consented or where we are otherwise permitted to do so
  • Qualify and manage business opportunities, and communicate with you about a potential or existing engagement
  • Deliver, manage, and support our services to client organisations
  • Measure and improve the performance of our website, content, and advertising
  • Understand which channels and campaigns generate interest in our services
  • Maintain the security and integrity of our systems
  • Comply with our legal, regulatory, and contractual obligations

We do not sell your personal information, and we do not share it with third parties for their own independent marketing purposes.

5. Legal bases for processing

Where the EU or UK General Data Protection Regulation applies, we rely on the following legal bases:

Consent. For sending marketing communications where consent is required, and for non-essential cookies and tracking technologies. You can withdraw consent at any time.

Legitimate interests. For business to business marketing and outreach to professional contacts, for measuring and improving our website and campaigns, for maintaining security, and for managing our commercial relationships. We assess in each case that our interests are not overridden by your rights and interests.

Performance of a contract. Where we are delivering services to you or your organisation, or taking steps at your request before entering into a contract.

Legal obligation. Where we are required to retain or disclose information by law.

6. Marketing communications

If you submit a form, register for a webinar, or otherwise give us your business contact details, we may send you information about our services, events, and related content.

Every marketing email we send includes an unsubscribe link. You can also email us at privacy@woodsidesolutions.com and ask to be removed. We will action the request promptly and without charge. Withdrawing consent does not affect the lawfulness of processing carried out before you withdrew it.

We may still send you operational messages, such as a confirmation for a webinar you registered for or correspondence about an active engagement.

7. Cookies and tracking technologies

Our website uses cookies and similar technologies. These fall into the following categories:

Strictly necessary. Required for the site to function, including security and load balancing. These cannot be switched off.

Analytics and performance. Used to understand how visitors use the site so we can improve it. We use Google Analytics, Google Tag Manager, and Microsoft Clarity, which records anonymised session activity such as clicks and scrolling.

Marketing and advertising. Used to measure advertising performance and to show relevant advertising. We use the LinkedIn Insight Tag, Google Ads conversion tracking, and HubSpot tracking cookies.

You can manage cookies through the cookie banner on our site where one is presented, and through your browser settings. Blocking some cookies may affect how parts of the site work.

You can opt out of Google Analytics using the browser add-on at tools.google.com/dlpage/gaoptout, and manage LinkedIn advertising preferences in your LinkedIn account settings.

8. Who we share your information with

We share personal information with:

Service providers who process information on our behalf. These include our customer relationship management and marketing platform, webinar and event platforms, email and communication providers, cloud hosting and infrastructure providers, analytics and advertising platforms, and scheduling tools. These providers are contractually required to process information only on our instructions and to protect it appropriately.

Professional advisers. Including legal, accounting, and insurance advisers where necessary.

Authorities and other parties where required by law, to establish or defend legal claims, or to protect the rights and safety of Woodside, our clients, or others.

A buyer or successor in the event of a merger, acquisition, financing, or sale of assets, subject to the protections in this policy.

We do not sell personal information.

9. International transfers

We are based in the United States and work with clients and service providers in the United States, Europe, India, and elsewhere. Your information may therefore be transferred to, stored in, and processed in countries other than your own, including countries that may not provide the same level of data protection as your home country.

Where we transfer personal information from the European Economic Area, the United Kingdom, or Switzerland to a country without an adequacy decision, we put appropriate safeguards in place, typically the European Commission’s Standard Contractual Clauses together with any additional measures required. You can request a copy of the relevant safeguards by contacting us.

10. How long we keep your information

We keep personal information only for as long as we need it for the purposes described in this policy.

  • Marketing and prospect contact records: retained while the contact remains relevant to our business, and reviewed periodically. Contacts who unsubscribe are kept on a suppression list so we do not contact them again.
  • Webinar and event registration records: retained for up to 24 months after the event.
  • Client engagement records: retained for the duration of the engagement and for 7 years afterwards, or longer where required for legal, tax, or contractual reasons.
  • Website analytics data: retained in line with the retention settings of the relevant platform, typically up to 26 months.

When information is no longer needed we delete it or anonymise it.

11. Security

We use appropriate technical and organisational measures to protect personal information against unauthorised access, loss, misuse, or alteration. These include access controls, encryption in transit, restricted administrative access, and vendor due diligence. No method of transmission or storage is completely secure, and we cannot guarantee absolute security.

12. Your rights

Depending on where you live, you may have the following rights over your personal information:

  • Access. Ask for a copy of the information we hold about you.
  • Correction. Ask us to correct information that is inaccurate or incomplete.
  • Deletion. Ask us to delete your information where there is no ongoing lawful reason for us to keep it.
  • Restriction. Ask us to limit how we use your information in certain circumstances.
  • Objection. Object to processing based on our legitimate interests, including direct marketing. If you object to direct marketing, we will stop.
  • Portability. Receive information you provided to us in a structured, commonly used, machine readable format.
  • Withdraw consent. Withdraw consent at any time where we rely on it.
  • Automated decision making. We do not make decisions producing legal or similarly significant effects about you based solely on automated processing.

If you are a California resident, you additionally have the right to know what personal information we collect, use, and disclose, the right to request deletion or correction, the right to opt out of the sale or sharing of personal information, and the right not to be discriminated against for exercising your rights. We do not sell or share personal information as those terms are defined under California law.

To exercise any of these rights, email privacy@woodsidesolutions.com. We may need to verify your identity before we act. We will respond within the timeframe required by applicable law.

If you are in the EEA, the UK, or Switzerland and you are not satisfied with our response, you have the right to lodge a complaint with your local data protection supervisory authority.

13. Children

Our website and services are directed at businesses and business professionals. We do not knowingly collect personal information from anyone under 16. If you believe a child has provided us with personal information, contact us and we will delete it.

14. Third party sites

Our website and communications may contain links to third party websites and platforms, including LinkedIn. We are not responsible for the privacy practices or content of those sites. We encourage you to review their privacy policies.

15. Changes to this policy

We may update this policy from time to time to reflect changes in our practices, technology, or legal requirements. We will post the updated version on this page and revise the “last updated” date above. Where changes are significant, we will take reasonable steps to notify you.
